What Is Data Intake?
When adding a new resident to your community, this tool will help streamline the process of integrating and analyzing their data. Why is this important? Because it will ultimately lead to building an engaging and personalized experience for the resident within your community.
At its core, data intake is designed to capture more resident information in a fraction of the time.

How Does Data Intake Work?
To get started with data intake, first you will need to access Accounts > Residents and select the Add Resident button, as illustrated below:
You'll land on the New Resident Information form, where some basic data about the resident will need to be filled out:
New Resident Information:
- First Name: Required field.
- Last Name: Required field.

Care Type: Required field.
- Independent
- Assisted
- Memory Care
- Birth Date: Optional, but highly preferred.
- Email: Required for Independent and Assisted care types. Optional for Memory Care.
- Phone Number
- Apartment Number
- Move-in Date
When the information is entered, click the Next button. This will bring you to the Data Intake Info form.
Data Intake Info
This is where you will determine how information about the new resident will be captured into TSOLife. The data captured about the resident's hobbies, interests, and experiences will help you create a personalized experience for them within your community. The question is: how will this information be captured?
There are two options for the Data Intake Type:
Audio Interview
This is the default option. A community staff member will set up a time to meet with the resident and conduct an audio interview. The interview is captured on a mobile device where TSOLife's software will analyze the information and then will delete the recording in accordance with HIPAA requirements. Email Questionnaire
If this option is selected, then the questionnaire can be emailed to the resident or a family member:
- Resident: The questionnaire will be emailed to the address provided on the New Resident Information page. A validation email will be deployed first (more on that below). Following validation, the questionnaire will be sent for the resident to fill out.
- Family: The questionnaire can be sent to a family member on the resident's behalf.
When this information is selected, click Add Resident.
Email Validation
Before the questionnaire is deployed, a request for validation will be sent to the address provided:
Click the Validate My Contact Information button. You will be brought to a confirmation page:
Click the Yes, Info. is correct! button to complete the validation process.

When the associated email address is validated, you will receive an email with a link to the questionnaire:
Click the Complete the Form Here button to access the questionnaire:
And here it is! This form will ask questions about interests, hobbies, family, education; elements of the resident's life that can help the community understand them a little bit better and create a more personalized experience.
Once the form is complete, the information will automatically populate within the system and can be reviewed in the resident's profile. This can be located by going to Accounts > Residents and looking under the General Form. You can also download this document by clicking the Download button:
