Resources is a feature that makes it easy for corporations and communities to upload and manage important files that are accessible for residents and their family members. For corporate teams, it also includes the ability to seamlessly share documents with selected communities.
The types of items that you can typically use for this feature include:
- Welcome packets
- Event calendars
- Guides
- Policy updates
- Resident handbook
- Hyperlinks
This article will review the Resources feature from both the corporate and community perspectives. Rest assured, both are very similar with the exception of a couple minor configurations.
Corporate Access to Resources
Corporate documents can be accessed by selecting Resources from under the Corporation Manager tab:
From here, you'll land on the Resources page:
The Corporate and Community Resources pages feature similar components. For the Corporate iteration, we'll focus with what's exclusive on this page, and then explore the other features in the Community walkthrough:
- Upload a Document: Accepted file formats are PDF, DOCX, PPT, and hyperlink.
- Filter by Resource Type: Lists documents by format (PDF, DOCX, PPT) or hyperlink.
- Filter by Community: Lists the documents associated with selected communities within the organization.
- Filter by Care Level: Lists the documents associated with selected care levels throughout the organization.
- Filter by Region: Lists documents by community region, if applicable.
- Search Resources: Conduct a search for documents using keywords and phrases.
- Show Community Resources: Checking this box will display all documents that have been uploaded to your organization.
Community Access to Resources
Community Resources can be accessed by selecting Resources from the Community Management tab:
Once inside Resources, there are a number of points of interest:
- Upload a Document: Accepted file formats are PDF, DOCX, PPT, and hyperlink.
- Visibility: Resources can be pinned to the top of the list for easy access. The eyeball icon indicates whether or not a document is visible to web and app users. This setting can be configured under the Edit menu of the Actions column.
- Type: Indicates whether the resource is a document or a hyperlink.
- Resource Title: Give the resource a relevant name so it can be easily discerned.
- Description: Give the resource a brief description so users know what it is.
- Upload Date and Care Type: Lists when the resource was uploaded into the system and details which care type the resource is for.
- Access: Details whether the resource is for residents, families, or both. One must be selected.
- Actions
- Edit: Allows you to edit the details of the resource.
- View: Open and view the resource.
- Download: Download the resource onto your computer or device.
- Delete: Permanently removes the resource.
Uploading a New Community Resource
Clicking Upload from My Computer will open a search window for you to upload new documents. Once you have selected a document, you will be presented with the New Community Resource menu. Clicking Create New Hyperlink will summon the same menu:
The points in the above screenshot are a closer look at configurations that were touched upon earlier in this article. Whether it's a document or a hyperlink, the settings are the same:
- Document/Hyperlink Title: Give the document a relevant name so it can be easily discerned.
- Document/Hyperlink Description: Give the document a brief description so users know what it is.
- Applicable Care Type(s): Details which care type the document is for.
- Access: Details whether the document is for residents or families. One must be selected.
- Visibility: Indicates whether or not a document is visible to web and app users. This setting can be configured under the Edit menu of the Actions column.
Once this information is filled out, click the Add Document/Add Hyperlink button to add the resource.
