Calendars

Getting started:

  • Login to TSOLife on your desktop
  • Navigate to ‘Engagement’
  • Click ‘Calendar’

 

Three different views:

  • Daily, weekly, monthly
  • Create events in all views

Adding locations:

  • Click the ‘Create Event’ button
  • In the window that appears, navigate to the ‘Location’ field
  • Type in location name
  • Click ‘Add Item’

 

Creating events:

  • Click on the calendar day (in any view) 
  • In the window that appears, add event name, date and time, event duration, event location, event description, event type, and care type
  • Click “Create”

Creating RSVP events:

  • Click on the calendar day (in any view).
  • In the window that appears, toggle to RSVP and enter the following details:
    • Event name
    • Date and time
    • Event duration
    • Event location
    • Event description
    • Event type
    • Care type
  • Add RSVP details:
    • RSVP limit: If there is no limit, enter your current occupancy.
    • Enable waitlist (if desired).
    • RSVP deadline: If your event has a deadline, check the box and enter the date. This will prevent residents from RSVPing after the deadline.

Recurring events:

  • Daily 
  • Weekly 
  • Bi Weekly
  • Weekdays
  • Monthly
  • Day of the Week (Monthly)
  • Yearly

Editing events:

  • Click on the event you wish to edit
  • Click the “Edit” button in the event info window
  • Make the desired changes to the event name, date and time, event duration, event location, event description, activity type, dimension and care type
  • Click “Update” to save

Inclusion Score

How it works:

  • The Inclusion Score is a real-time to check to make sure all your residents have an interest reflected on the calendar. 
  • If a resident only likes playing chess and watching baseball and neither of those interests are scheduled as events on the calendar, then the resident is not included in the Inclusion Score. As soon as you add one of those events to the calendar, the Inclusion Score percentage will increase and the resident will be included in the Inclusion Score. 

Note that this number will change based on which view you are in (daily, weekly, monthly) and care level.  It is important to note that if all resident do not have data it will be challenging to reach 100% Inclusion Score

 

Customizing calendars:

  • Make sure you are in the Month View 
  • Choose the care type you wish to customize  
  • Click the ‘Print Calendar’ Button  
  • Click ‘Customize’
  • You can customize the following settings:
    • Month Header Size
    • Logo Size
    • Calendar Title
    • Calendar Title Size
    • Print Theme
    • Accent Color
    • Care Level Title 
    • Care Level Size
  • Calendar Toggles:
    • Include Dimensions
    • Include Event Time
      • Standard Times
      • Time of Day (Morning, Afternoon, Evening) 
    • Include Holidays 
    • Include Birthdays 
    • Include Other Months Labels
    • You can customize the following settings:
      • Calendar Footer Text
      • Event Title Font Size
      • Event Title Color
  • You can customize the following settings:
    • Empty Boxes 
      • Add text, images, dimensions, locations, and birthdays.
    • Individual Events: 
      • Apply bold, italics, change font color, and adjust font size

 

Printing

To Print Daily Events

  • Choose Daily View: Ensure you’re viewing the correct date using the arrows, or click “Today” to jump to today’s date.

Print the Calendar:

  • Click on “Print Calendar.”
  • In the pop-up, choose your desired theme.
  • Select your Care Type and set the paper size to Letter for optimal results.
  • Select your preferred setting and click “Print!”

To Print Weekly Events

  • Choose Weekly View: Ensure you’re viewing the correct date using the arrows, or click “Today” to jump to today’s date.

Print the Calendar:

  • Click on “Print Calendar.”
  • In the pop-up, choose your desired theme.
  • Select your Care Type and select the calendar size
  • Select your preferred setting and click “Print!”

Tracking Attendance

Getting Started on Website:

  • Navigate to Engagement and click on Calendar.
  • Click on the desired event.
  • In the event info window, click the Edit button.
  • In the Attendance column:
  • Click the button next to attending residents in the Expected Attendees list.
  • If a resident is not listed, click Add Other Attendees to display the full resident list.
  • Use the search bar to find a specific resident.

Getting Started on TSOLife Staff App:

Navigate to the Calendar Tab

  • Open the TSOLife Staff App.
  • Tap on the Calendar tab.
  • Scroll through the list to locate the event you wish to take attendance for.

Note: The default view shows today's events. To add attendance for past events, tap on the desired date in the calendar.

Helpful Hint: You can filter your calendar by care level:

  • Tap the Filter button.
  • Select the Care Level you want to see.
  • Tap Save Filters to apply the changes.

Add Attendees to the Event

  • Tap on the event you want to manage.
  • Tap Add Attendees.
  • A list of residents will appear.
  • Tap the checkbox next to each resident to mark them as attended.
  • Once a resident is marked as attended, they will be removed from this list.

Helpful Hints:

  • Use the Filter option to show only residents in a specific care level.
  • Use the Search Bar to find residents by name or apartment number.

Review or Edit Attendance

  • Tap on the Attending tab to see residents marked as attended.
  • If a resident was accidentally marked as attended, tap their name to remove them from the attendance list.

Syncing with TSOLife Dashboard:

  • Any attendance changes made in the app will automatically sync with your TSOLife dashboard.

Attendance Report

Getting Started on Attendance Report:

The attendance report provides an overview of your total events and the percentage with recorded attendance. On this page, you can filter by 

  • Care level and a 
  • Cate range. 

*The default date range is the past 30 days.

 

Printing Attendance Report:

To print your attendance report:

  • Apply the desired filters (care level and date range).
  • Click "Print all attendees."
  • A PDF will be downloaded to your computer.

To view attendees without printing:

  • Click the person icon.
  • A window will pop up displaying all residents who attended events within the selected time frame.

Getting Started on Attendance Report Chart:

Your attendance report chart provides in-depth insights into attendance trends within your community. On this page, you can view:

  • Attendance – A pie chart showing the number of events with and without recorded attendance.
  • Most Attending Residents – A list of residents who have attended events within the selected time frame.
  • Non-Participatory Residents – Residents who have not attended any events within the time frame.
  • Events Included by Attendance – A breakdown of the most attended events within the selected period.

Most Attending Residents:

You can view each resident's total event attendance within the selected time frame and the specific events they attended.

  • To see detailed event participation:
  • Click the number under "Events Attended."
  • A list will appear showing the event name, date, and dimension.
  • To print this list, click "Print Report," and a PDF will be downloaded to your computer.

Non-Participatory Residents:

You can view residents who have not participated in any events within the selected time frame. This actionable data helps identify residents who may be at risk for loneliness in your community.

  • To explore a resident’s profile further, simply click on their name to navigate to their profile.

 

Events Included By Attendance:

You can view a list of events ranked from most attended to least attended within the selected time frame. Events are displayed in chronological order based on participation and include:

  • Event Name
  • Date
  • Attendance

To see more attendance details, click the symbol under "Go to Event."

 

Newsletters

Getting started:

  • Login to TSOLife on your desktop
  • Navigate to “Engagement”
  • Click “Newsletter”

Creating newsletters:

  • Click on “Create”
  • Fill in Title, Care Level, and Theme
  • Choose the Template
    • More Photos 
    • More Text

Creating content:

  • The editing page will open a preset template
  • There are several text boxes with default text and blank photo spots
  • To type in a text box, click on the text box and start typing
  • A formatting window will open with several formatting options

Adding photos:

  • To upload a photo, click the green “Upload Photo” button in the image box you want to upload a photo into
  • Your gallery will appear with photos that you have taken with the TSOLife mobile app, as well as a browser upload button in case you want to use photos saved on your computer
  • Stock Photos are available as well

Finalizing:

  • Once you’re done creating your newsletter click “Publish” on the top right corner of the page 
  • If you want to save the draft you’re working on and come back later, click “Save Draft” 
  • You can still edit your newsletter after you hit publish 

Ordering Prints

Getting started:

  • To order Calendars & Newsletters you will use the dropdown next to your name on the TSOLife website (top right) and click on “Submit Order”
  • Place orders 10 business days before you want them
  • Please submit one form per print type
  • You may submit multiple order forms

Our unique content platform caters to all aspects of wellness, offering a comprehensive and holistic experience for users. Calendar

How it works:

Easily add events to your calendar based on content in the catalog!

  • From the Content Catalog view, select "Add to Calendar".
  • Choose the desired difficulty level.
  • You will be taken to your calendar view, where you can:
    • Select the desired care level.
    • Click on the specific day to add the event.

All information will be transferred over automatically.

  • You have the ability to customize the event by:
    • Changing the title
    • Filling in the start time
    • Adding the location
    • Selecting the dimension

Easily add events to your calendar based on content in the catalog!

  • From the Content Card, on the right-hand side, select the difficulty level and click "Add to Calendar."
  • Choose the desired difficulty level.
  • You will be taken to your calendar view, where you can:
    • Select the desired care level.
    • Click on the specific day to add the event.

All information will be transferred over automatically.

  • You have the ability to customize the event by:
    • Changing the title
    • Filling in the start time
    • Adding the location
    • Selecting the dimension

TSOLife Tribune

What’s included:

Powered by our Minerva platform, the TSO Tribune is crafted to reflect the distinct preferences of your residents. This thoughtful approach results in a personalized chronicle that is tailored to their specific hobbies and interests.

Daily Personalized Tribune

  • Enable Tribune Creation by setting it to "On."
  • Select the frequency – Daily or Weekly.
  • Choose the care level(s) – You can select multiple care levels.
  • Set the print order – Choose from:
    • First Name
    • Last Name
    • Room Number
  • Click "Update Settings."
  • The Tribune will be automatically available at 6:00 AM EST.
